The goal at the outset: improve knowledge management within the team.
With 150 business proposals sent out in 2014, controlling outgoing information was a real challenge !
As Emma says, “Even though our offers have always been personalised, we did sometimes take inspiration from past proposals and copy certain parts… and of course all the little version errors and typos were often replicated. A centralised database was the right solution.”
The gamble really paid off: thanks to My Proposal, the name used for Proposal Studio at Ayming, proposals are much more accurate, quicker to produce, and have a professional look that clients appreciate and comment on. This success opened the door to new possibilities: “After using it for eight months, we still have a lot to do!” says Emma. “To get the most out of the possibilities that a database offers, we intend to turn My Proposal into a library of reference documents and make even more documents available to our users.”
Beyond the software’s performance, it was the value added to the overall sales process that really captured Emma’s attention. “Starting a project with Jack in the Box means completely rethinking the way you sell. The working groups help us take a step back and consider our proposals, question what we’re providing clients and the way we address their needs and present our services.” All this is done with the help and support of the Jack in the Box team. “At every step along the way the teams were available and worked to the highest standards. That was really important to us.”
Ayming is now looking to Jack in the Box to roll out Proposal Studio to other business units and for other offerings. The adventure continues…
